Privacy policy
Last updated 23 October 2026
We Scale Gyms ("we", "us") is run by Ethan Lucey in the United Kingdom. This policy explains what personal information we collect, why, and what you can do about it. If you have any questions, email ethan@wescalegyms.com.
What we collect
- The "check my area" form. Your gym name, ZIP code and rough list size are checked in your browser to show you a result. They are not sent to us unless you go on to book a call.
- Booking a call. When you book through our scheduling tool (Cal.com), we receive the details you enter, such as your name, email address, phone number and any notes, plus the time you chose.
- Emails and messages. If you email, text or message us, we keep that conversation.
- Basic technical data. Our hosting provider (Vercel) keeps standard server logs, such as IP address, browser type and pages requested, for security and reliability. We don't use advertising cookies or tracking pixels on this site.
Gym clients' contact lists
When a gym works with us, it shares lists of its own past members, leads and enquiries so that we can contact them on its behalf. For that data the gym is the controller and we act as its processor: we only use it to run the gym's campaign, we don't sell it or use it for anything else, and we delete or return it when the work ends unless the gym asks us to keep it. Gyms are responsible for having a lawful basis and any consent needed to contact the people on their lists.
Text messages
Texts we send for a gym identify the gym. Anyone can reply STOP to stop receiving messages, and we honour opt-outs straight away. Message and data rates may apply. We never sell or share phone numbers, or consent to receive texts, with third parties for their own marketing.
Why we use your information
- To arrange and hold the call you booked, and to follow up about it (our legitimate interest in responding to enquiries, or steps you asked for before a contract).
- To deliver the service a gym has signed up for (contract).
- To keep the site and our systems secure (legitimate interest).
- To meet legal, tax and accounting obligations (legal obligation).
Who we share it with
Only the service providers we need to run the business, under their own data-protection terms: Vercel (website hosting), Cal.com (scheduling), Google Workspace (email and calendar), and HighLevel and its messaging providers (texts, emails and contact management for client campaigns). Some of these are based in the United States; where data leaves the UK, it is protected by the providers' standard contractual safeguards. We don't sell personal information.
How long we keep it
We keep enquiry and booking details for up to 24 months after our last contact, client records for as long as the law requires (normally 6 years for accounting), and client contact lists only for as long as the work needs them.
Your rights
Under UK data-protection law you can ask to access, correct or delete your information, object to or restrict how we use it, and ask for a copy to take elsewhere. Email ethan@wescalegyms.com and we'll respond within one month. If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ico.org.uk). If you live in a US state with its own privacy law, you can make the same requests the same way.
Changes
If we change this policy, we'll update the date at the top of this page.
